What we collect
Information you give us
- Enquiries & messages: if you contact us, we collect your name, contact details and whatever you share in your message (including dates or preferences).
- Bookings: if you book a stay, we collect the details needed to take and manage your reservation (for example guest details, stay dates and booking preferences).
Information collected automatically
When you browse our website, we may collect basic technical and usage information (such as IP address, device/browser information, pages viewed and how you move around the site). This helps us keep the site secure, working properly, and improving over time.
CCTV (when in operation)
We may operate CCTV in and around the property for the safety and security of our guests, staff and building. Where CCTV is in use, we may collect images/video of individuals who enter the monitored areas.
Third parties with whom we share your information
- We may need to share your information with third parties who act on behalf or provide services to us. We require all such third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.
- We will require to disclose your information to our data processor, the Queensborough Group. The Queensborough Group administers the online booking system on our behalf. Accordingly, the Queensborough Group will require to process your personal data in the course of operating the online booking system. Your information will also be disclosed to HotelHost Company and Rackspace, both of which are sub-processors for the Queensborough Group. Both of these sub-processors store data in order to enable the Queensborough Group to operate the online booking system.
- We share personal information only where it’s needed to run the hotel and the website, for example with our data processor, the Queensborough Group, sub-processors HotelHost Company and Rackspace, website/IT providers (hosting, security, maintenance); and professional advisers or authorities where required by law.
- Where relevant, we may also share information with: (i) email/marketing service providers (if we use them to send messages); and/or (ii) security providers / law enforcement where necessary in connection with incidents (including CCTV, if in operation).
How we use your information (and why)
We use personal information to:
- Reply to enquiries and provide customer support.
- Take and manage reservations and provide your stay.
- Keep records for accounting, operational and legal purposes where needed.
- Maintain and protect the website (security and performance).
- Maintain safety and security (CCTV, when in operation), including preventing and investigating incidents.
- Send occasional updates and offers (marketing, where permitted) — see “Marketing” below.
We don’t sell personal information.
Legal basis (UK GDPR): We process personal information where it’s needed to respond to you, to perform a contract (your booking), to meet legal obligations (for example, accounting requirements), and for our legitimate interests in running and protecting the hotel and website. Where we use optional cookies/analytics, we rely on your consent.
Marketing
From time to time, we may send you news, updates or offers about Lakeside Oxford Hotel. We’ll only do this where permitted under applicable marketing laws, and you can opt out at any time (for example by using the unsubscribe link in an email or by contacting us).

How long we keep information
We keep personal information only for as long as needed for the purpose it was collected — for example, to deal with enquiries, manage bookings, and meet legal/accounting requirements.
For example, booking and payment-related records may be kept for several years where required for tax or accounting purposes.
If CCTV is in operation, footage is typically kept for a limited period unless it’s required to investigate an incident or as otherwise required by law.
Your rights
Depending on your circumstances, you may have rights to access, correct or delete your personal information, and to object to or restrict certain processing.
You may also have the right to receive a copy of your information in a portable format, and to withdraw consent at any time where we rely on consent (for example, optional analytics cookies).
